So when these things happen, how do you communicate them to your employees?

The answer: It depends.

For instance, if you need an employee to change roles or take on a new responsibility, your best bet is to schedule a private meeting with them. During it, you can talk about why the change must occur, the benefits and/or challenges of it for the employee, and the resources and support you can offer to help facilitate the transition. You also need to communicate any new expectations to the employee and help resolve any doubts or questions they may have. In addition, in this kind of situation, you’ll want to follow up with the employee on a regular basis until they feel comfortable in their new role.

However, if it’s the kind of change that will impact many players – for instance, a cut in salary – then schedule a meeting with your entire team. Bring them in, sit them down, and lay out the situation for them. Explain the rational or other factors involved in the decision making process and answer employee questions honestly. Not doing so will get the rumor mill started, which will cause far more harm than good.

Changes that aren’t quite as serious can be communicated in a variety of ways. For instance, if there’s an adjustment to the daily work schedule, then you may simply want to send out a general email, publish information on the company intranet, and post a flyer in common areas.

But regardless of whether a change is big or small, communicate about it openly and honestly – and as early as possible. Change stresses employees out, even if it will benefit them in the long run. But good communication by the leadership team can help mitigate the negative consequences and diffuse tension among your employees.
